Our client is seeking a bright, energetic and focussed individual to work at their bustling offices in Maidenhead. The ideal candidate will have experience in a fleet support role as this is a key to the position.
First point of contact for all fleet users
In conjunction with FD, order and allocate all company cars
In conjunction with FD, approve/sign off all invoices associated with company car costs
Maintain records of company cars, provide all relevant monthly reports (including mileage checks)
Manage car deliveries/changeovers/collections – maintain all relevant records
Liaise with HR in respect of driving licence checks/insurance eligibility etc
Liaise with Insurance brokers to ensure that all company cars have appropriate/adequate insurance cover when relevant
Maintain daily record of company car insurance movements – reconcile with brokers quarterly
Manage/process all car insurance claims & maintain records
Manage/process/action as appropriate, car damages not covered by insurance
Manage and report to Finance any damage claims, congestion charges, penalty charges etc,
Check office environment is safe and free from hazards and report any issues to FD & HR;
Ensure Meeting Rooms and general office are maintained in a tidy manner
Ensure adequate supplies of Refreshments i.e. Tea, coffee, milk etc.
Place stationery orders and manage/sign off expenditure
Meet and greet clients and visitors
Previous fleet and facilities management support experience is essential.
MS Office Literate essential (Word, Excel and PowerPoint) – preferably at advanced level (Knowledge of CRM systems & other software packages would be an advantage).
Reliability, adaptability and good interpersonal, organisational and excellent administrative skills.
Strong attention to detail.
Must be pro-active and solution focused.
Confident, clear and strong communication skills – both written and verbal.
Must be IT literate and have an interest in and general understanding of IT systems/infrastructure.
